Meeting regulations and blackout times
Companies or other organisations are not permitted to run any scientific or scientifically related activities. This is valid starting from three days prior to the Congress, during the official Congress days and for two days after the Congress. This covers the period from 1 to 9 June 2025. Such activities include all scientific symposia and promotional events with invited speakers and/or presented data, any formal presentations taking place in a hospitality suite as well as case studies and educational or practical workshops. This rule equally applies to activities scheduled both inside and outside of the official Congress venue. It is especially strictly forbidden to hold an Industry Symposium which is not booked via the organizer and thus part of the ERA Congress Industry Programme.
Companies can hold non-scientific meetings such as slide reviews, client meetings, advisory board meetings or social events if they adhere to the following rules:
- Participants are invited individually, not via mass mailings or similar.
- No general promotion or advertisement of the meeting in any form both prior to and during the Congress. This includes promotional activities such as roll-ups, posters, flyers, or self-provided signage anywhere in the Congress venue.
- A maximum of 25 participants per meeting when taking place during the official Congress times (=blackout times) as defined below.
Congress times/blackout times:
- June 4: 07:30 – 20:30
- June 5: 07:45 – 18:45
- June 6: 07:45 – 18:45
- June 7: 08:00 – 12:45
Please note that the Industry Meeting Rooms rented out by the organizer are only available during the Congress times (=blackout times).
In case of doubt if your meeting respects all the rules, please contact the ERA Industry Relations Team at era-industry@interplan.de
Congress marketing
The logo/banner of the 62nd ERA Congress may be used by sponsors and exhibitors of the Congress. The prerequisite is that no changes or additions are made to it. The ERA society logo MUST NOT be used on any promotional materials.
Please meet the following criteria:
1) The Congress logo/banner may only be placed on advertising material that is used exclusively for event-related initiatives.
2) In any case, it must be clearly recognizable that your company and not the ERA is the organizer of this activity.
3) The Congress logo/banner may only be used in connection with the sponsor’s logo and not alone. Both logos should be positioned equally.
4) The following sentence must be included on all materials: “The ERA assumes no responsibility for the information published in this document.”
5) The Congress logo should only be displayed with white background.
Requirements
Please note that materials must be approved by ERA BEFORE publication.
These rules are applicable for all kind of publications including any social media activities/posts.
Please follow the ERA Congress Brand Guidelines.
Embrace sustainability
ERA encourages sponsors and exhibitors to embrace sustainable initiatives, reduce their carbon footprint, and support environmentally responsible practices.
